The State Council of Higher Education for Virginia (SCHEV) is seeking a professional to support Executive and Board Affairs and provide critical support to the Council as it executes responsibilities in the Code of Virginia. The position assists the Director of Executive and Board Affairs with day-to-day operations of the Executive Office and independently manages daily operations and activities related to the board, including preparing agenda book items, managing web content, recording minutes, and organizing logistical arrangements for the Council meetings, both in Richmond and when traveling to institutions. This position will report to the agencyâ??s Director for Executive and Board Affairs. Other responsibilities include: composing correspondence for the agency Director; handling confidential materials related to the Council and agency operations; producing reports and spreadsheets to ensure timely transmittals of Council information to the Governor and General Assembly as required by the Code of Virginia; maintaining a current knowledge of state procurement procedures; providing support to the Council and executive staff for major events and meetings, including Boards of Visitors orientation program development, initiating negotiations with vendors to obtain adequate facility/services and recommends strategies to reduce event costs, and supporting event and board software. The position supports the agencyâ??s public record archive process to help identify and record public records that are subject to archiving, and ensure records are disposed of properly. Will also function as the agencyâ??s primary contact for telecommunications, and provides back-up coverage for parking services, reception desk, mail room and other agency operations as needed. Assists other sections, (Agency Communications and various advisory committees, including Finance Advisory Committee and Staff Advisory Team) as needed to accomplish goals of the statewide strategic plan and objectives of the agency.
Knowledge of general office practices and procedures as well as knowledge of English grammar, spelling, punctuation, and math skills. Excellent written and oral communication skills. Experience developing relationships with diverse constituencies and audiences. Working knowledge of procurement procedures. Demonstrated ability to work with spreadsheets, formulas and graphs to prepare reports; to interpret and apply state policies, procedures, regulations and guidelines; and to handle confidential and sensitive information. Experience using Microsoft Office, HTML, and Acrobat. Ability to manage multiple tasks, and manage projects and events in a fast-paced work environment within established deadlines.
Bachelor's degree in area relevant to the job. Knowledge of Virginia government and higher education. Experience using event software and the eVA procurement system or similar on-line purchasing system. Experience working as an executive-level assistant in an administrative or related field, with experience in meeting or event planning.
